Hosted Server Terms & Conditions
1. Service Model
Aventa Technologies provides hosted server solutions on a hybrid, self-managed basis. This means we provision and configure the server environment, apply baseline security measures, and ensure daily backups, while clients remain responsible for the management and governance of their own data, applications, and user access.
2. Client Responsibilities
Clients are solely responsible for the way in which their staff and third parties access, use, and manage their data within the hosted environment.
Clients must implement and maintain their own data security measures, including but not limited to Multi-Factor Authentication (MFA), user account policies, and internal data governance practices.
Clients may use their own antivirus solutions if desired. By default, Aventa provides ESET Server Antivirus.
3. Backups & Data Retention
Daily encrypted backups are included for disaster recovery and short-term protection.
Unless otherwise agreed in writing, Aventa does not provide long-term backup retention. Clients are responsible for implementing and maintaining extended backup or archival solutions to meet their business requirements.
Aventa will not be liable for any data loss or corruption where clients have not arranged adequate long-term retention or additional backup services.
4. Security & Access
By default, all ports are closed on the hosted environment. Only specific ports required by the client will be opened.
A non-standard RDP port is used for remote access.
Access to servers is restricted to authorised Aventa engineers and nominated client staff. All other access is strictly prohibited.
5. Liability & Exclusions
Aventa Technologies will take all reasonable measures to ensure the security and availability of hosted servers. However, Aventa shall not be held liable for:
Any data loss, breach, or downtime resulting from client misuse, poor internal security practices, or unauthorised access caused by client negligence.
Third-party software vulnerabilities, vendor outages, or infrastructure failures outside Aventa’s reasonable control.
Natural disasters, power failures, cyberattacks, or other force majeure events.
In all cases, the client remains the owner and controller of their data.
6. Compliance
Aventa’s hosted solutions operate within South Africa-based data centres aligned with ISO/IEC 27001 standards and comply with local data protection laws, including POPIA.
Clients are responsible for ensuring their use of hosted servers complies with all applicable laws and industry-specific regulations relevant to their operations.
